PRIVACY POLICY ADDENDUM
Exam Results System – Data Processing Practices
This addendum supplements the main 11 Plus Mocks Privacy Policy and explains how personal data is collected, processed, and shared by the online exam results system operated on this website.
1. Data Collected by the Exam Results System
When a candidate sits a mock 11 Plus exam, the following information is recorded and stored in our secure database:
• Candidate’s full name
• Candidate’s email address
• Candidate number (linked to the associated purchase order)
• Gender (as supplied at registration)
• Exam date and exam identifier
• Section-by-section marks and the number of unanswered questions per section
• Total marks achieved
This data is stored on our WordPress hosting infrastructure and is accessible only to authorised administrators and to the registered candidate (or their parent or guardian) when logged in to their account.
2. How Results and Rankings Are Calculated
Each time a candidate views their results page, our server computes live, dynamic rankings. To do this accurately, the system temporarily retrieves the scores of all candidates who sat the same exam and calculates:
• Each candidate’s overall placement (rank) within the full cohort
• Each candidate’s placement within their gender group (boys or girls)
• Section-level rankings for every scored component
• Cohort-wide statistics: highest score, lowest score, and mean (average) score
Important: although all candidates’ scores are loaded into server memory momentarily to perform these calculations, no individual candidate’s data is ever disclosed to another candidate. Each user sees only their own results together with aggregated cohort statistics (for example, ‘Cohort average: 142’).
The legal basis for this processing is the performance of the contract entered into when a mock exam place is purchased (UK GDPR Article 6(1)(b)) and, where applicable, our legitimate interest in providing meaningful, accurate benchmarking information (UK GDPR Article 6(1)(f)).
3. Performance Charts
Results pages include radar charts that give a visual overview of a candidate’s performance across exam sections. These charts are generated entirely within the candidate’s own browser using the open-source Chart.js library. No candidate data is transmitted to any third-party service in order to produce these charts.
4. Emailing Results
Exam results reports can be sent by email to the candidate’s registered email address. This may be initiated by an administrator or as part of the standard post-exam communication process.
Emails are delivered via WordPress’s built-in mail function, using the email infrastructure configured for this website. A results email contains the candidate’s full results data – including scores, rankings, and cohort statistics – in the same format as the online results page.
The legal basis for sending results by email is the performance of the contract and/or the candidate’s (or their parent’s or guardian’s) legitimate expectation of receiving the outcome of their exam.
5. Data Retention
Exam results data is retained for as long as is necessary to provide the exam results service and to fulfil any associated contractual or legal obligations. At present, no automated deletion schedule is in place; records are reviewed and removed by administrators on a periodic basis. If you wish to request deletion of your data before this review, please use the contact details in Section 7 below.
6. Your Rights
Under UK data protection law you have the right to:
• Access: request a copy of the personal data we hold about you.
• Rectification: ask us to correct any inaccurate data without undue delay.
• Erasure: ask us to delete your data where there is no overriding legitimate reason for us to continue processing it.
• Objection: object to processing carried out on the basis of legitimate interests.
• Restriction: ask us to restrict processing of your data in certain circumstances.
• Portability: receive your data in a structured, commonly used, machine-readable format where technically feasible.
